Questions clinics ask first

Where are my patients’ records kept?

On the clinic’s PC, Theia keeps them on that PC and backs them up every day to a folder you pick, such as a USB stick or OneDrive. Online, they are kept on Theia’s server in Frankfurt and sent over HTTPS. Either way, the records belong to the clinic.

Do I need internet?

Not for Theia on the clinic’s PC: the computers and phones on the clinic’s Wi-Fi connect to it. The online version needs internet, as do WhatsApp messages and the copilot.

Can I try it before I pay?

Is the AI copilot included?

The copilot, AI note drafting and stock by photo run on Anthropic’s Claude and need an AI key, added in Settings. Without a key everything else works and the AI features stay off.

Which languages does Theia speak?

The clinic and lab screens are in English. Patient pages, the booking page and dictation work in English and Arabic.

What does the clinic need?

For the PC version, one Windows 10 or 11 computer; the others and the phones open Theia in their browser. For the online version, any up-to-date browser.

We use DentaFlow. Is Theia different?

Theia is DentaFlow’s new name. Install the new version over the old one and everything stays: patients, settings, backups and logins.
